Feasibility Study of Work Flow Tool Application : Case of Process Improvement in an University
Objective: Universities often face inefficiencies in administrative processes, such as delays in approvals and complex paperwork. This study examines how workflow tools can improve operations, focusing on the application process for teaching assistants.
Methodology: The study analyzes business process improvement in corporations and applies similar methodologies to university administrative tasks. Using IDEF0 modeling, it compares the current state of operations (As-Is) with a proposed improvement model (To-Be).
Findings: The implementation of workflow tools is expected to bring the following benefits:
Digitizing approvals and requests to reduce processing time and workload.
Enabling students to apply for teaching assistant positions online, eliminating geographical and time constraints.
Utilizing system features such as bulk approvals and process management for enhanced efficiency and transparency.
Discussion: The study highlights the potential advantages of digital process improvements in academic institutions. However, it also points out challenges such as cost considerations and the need for organizational adjustments to optimize implementation.
